Five payment moments, one guest

The booking deposit is keyed or online. The check in is a pre authorization. Incidentals post mid stay. Checkout settles the folio. A no show charges a card that was never present at all. Spread across interchange categories like that, a property's true cost structure is invisible under any single blended rate, and visible immediately under a category by category read.

The front desk test

Any payments change that adds work to the front desk fails, whatever it promises. Our deployments post to the folio in the property system your desk already runs, so pre authorizations, adjustments and settlements flow through the existing workflow. For most properties that system is Oracle OPERA, our flagship property management integration, and we also deploy integrated payments alongside Agilysys Visual 1, Ariane, Orion Systems, SevenRooms, Springer Miller, StayNTouch, HotelKey and Infor HMS.

Disputes are won on evidence

No show charges and disputed incidentals are part of lodging. Winning them requires the booking record, the cancellation policy and the charge to travel together to the processor. Integrated acquiring keeps that chain intact, which converts disputes from write offs into wins.

Groups, banquets and the deposits ladder

Event business runs on a ladder of card not present payments: a hold at booking, staged deposits as the date approaches, and a final settlement that can be the largest single transaction the property takes all month. Large keyed transactions deserve enhanced data handling and deliberate pricing, and banquet heavy properties often find their event ledger is quietly their most expensive volume per dollar.

OTA bookings versus the front door

Commission channels deliver guests with the payment already shaped: sometimes the platform collects and remits, sometimes a virtual card arrives to be charged at the desk. Virtual cards are corporate card interchange, at the top of the table. Direct bookings, by contrast, ride rails you control and can price. Knowing what each channel truly costs per room night, commission plus payment cost together, is the arithmetic that should steer where you push demand.

Our deposits come in by phone. Is that why our rate is high?

It is likely part of it. Phone deposits are keyed, card not present transactions that carry real premiums, and on blended pricing that premium spreads across your whole volume instead of staying contained to the transactions that earn it.

Oracle OPERA is the flagship property management system we deploy integrated payments for, with charges posting to the folio and night audit reconciling cleanly. Seasonal resort volume: how should that be priced?

On the full year, with minimums and fixed fees that acknowledge the shoulder season. A twelve month statement is the honest basis, and it is the one we ask for.
